Privacy and data handling principles for Colpan desktop features, including optional AI assistant modes.

Privacy Policy

Colpan is a local-first desktop application. Most operations are performed on your device.

Local Data Stored on Device

Colpan may store these items locally:

  • directory paths
  • local indexes
  • search history
  • profile and UI settings

This data remains on your machine unless you explicitly export/share it.

Your Files

Colpan does not upload your document files for standard search/index/preview actions.

  • file content stays local
  • file paths stay local
  • PDF conversion flows run locally

Optional AI Assistant Data Flow

When AI Query Assistant is used, request text is sent to AI processing endpoints.

Depending on mode, this can include:

  • your current prompt text
  • recent chat context (for follow-up quality, e.g. last messages)

It does not include document file content unless you manually type it.

AI Modes and Third Parties

  • CF Worker mode: prompt/context passes through worker endpoint
  • Direct OpenRouter mode: prompt/context is sent to OpenRouter API

OpenRouter privacy policy: openrouter.ai/privacy

API Key Handling

If Direct mode is used:

  • your API key is stored locally
  • key usage is limited to AI requests you trigger

Data Not Collected by Default

  • telemetry/analytics events (unless explicitly introduced in future versions)
  • location tracking
  • cookies (desktop app context)

This policy may be updated as features evolve. Significant changes are announced through app/docs channels.
